About

A church CRM that answers to churches.

Small Group Builder exists so a church can run its people, its groups, and its ministry teams without paying for the privilege and without handing its records to someone else.

It is free to churches and intended to stay that way. It is not owned by private equity. No AI reads member information and no AI decides where anyone is placed.

    How it started

It began at Rockharbor Church with an ordinary problem. People signed up for a small group, and then they waited. Applications piled into spreadsheets, staff sorted them by hand for weeks, and by the time a leader reached out, a good number of those people had already stopped waiting.

So we built the thing the staff actually needed: one application a family fills out once, a transparent scoring pass over stage of life, availability, and location, and a placement a real person can review and change before anyone hears anything. What took weeks now takes an afternoon, and the leader knows who is coming.

The rest of the church CRM grew around that — check-in, volunteer scheduling and training, background checks, ministry permissions, giving, and bulk communication — because groups were never separate from everything else a church is carrying.

    Churches running on it

    • Rockharbor Church logoMeridian, Idaho

A short list on purpose. Churches are brought on one at a time so each one is set up properly rather than left to figure it out.

    The people behind it

    • Charles Roach

      Founder

Built and maintains Small Group Builder. He handles the software, the data, and the onboarding of each church personally, which is why churches come on one at a time.

    • Sam Marcum

      Rockharbor Church

Runs groups at the church this was built alongside. Every part of the placement process was shaped by what actually happens when hundreds of people apply for a group in the same week.

    Getting access

There is no signup form and no trial to start. A church reaches out, we talk about what they are carrying, and their account is set up with them.
